As our shared service work grew, invoicing started taking more effort than it should. Hours were logged in Excel, checked in chats, adjusted for holidays and leave, and then rebuilt again for billing. It worked - until it didn’t.

We tried to make the spreadsheet process “better,” but the real issue stayed the same: too many moving parts, too much manual checking, and too many chances to miss something. So, we built Nucleus Billing, connected directly to Nucleus – our core HR and project management system.

Before the app, invoicing meant pulling together many details manually:

• Holidays and leaves needed adjustments every month
• Hours required verification from team leads
• Charging rates changed with increments, and tracking the right rate wasn’t always easy
• One billing cycle often included multiple projects in one invoice
• Sometimes the project work was completed - but billing was missed or delayed

Because of all this, invoicing used to take 2–3 days, especially when finance had to do repeated checks and follow-ups.

The Solution: Meet Nucleus Billing

Nucleus Billing takes approved working hours from Nucleus and turns them into clean invoices - without rebuilding everything from scratch.

What Nucleus Billing Does:

• Creates invoices based on approved timesheets and working hours
• Auto-adjusts for holidays and leave
• Applies correct charging rates (including increments)
• Generates proforma invoices with detailed breakdowns (project-wise and employee-wise)
• Flags any billing that may have been missed, so it can be followed up and included in the cycle if needed
• Serially numbers of invoices and keeps historical records easy to trace
• Sends automated invoice emails to clients directly from the app

It also provides toggle views - project-wise, date-wise, and employee-wise - so finance can quickly spot anomalies before sending anything out.

 How We Built It

This was built from day-to-day reality. Finance mapped the pain points, team leads explained where verification slowed down, and IT built the workflow around Nucleus, so everything stayed connected.

We kept it practical: easy to use, easy to review, and designed to reduce back-and-forth - especially during billing time.

The biggest change was time. What used to take 2–3 days can now be done within hours, often in a few clicks.
